Edd George, Director’s Update

·       Charms – shared his use of the tool and interest in promoting it to students and parents

o   The central place to track, schedule and volunteer  for band events at BHS

o   Student ID  number is the password to get in

o   People can subscribe to BHS public calendar from this site – integrates with your own online calendaring

o   Concert Band, Wind Ensemble, percussion,  upcoming concerts and rehearsals

§  Playing tests have begun

§  Tutorials to precede Dec. concert

§  Appropriate dress required

o   Eastshore Jazz Festival at Cedar Crest High School was successful for Jazz 1 & 2

o   Next Thursday – Jazz 1 concert at Sammamish HS at 7:30, free

Homecoming - Julia Graham

·       Alumni marched in the parade, attended the game, then off to Rock Bottom

o   Last year big turnout – this year smaller but great time had

·       Wants Alumni to enjoy themselves when returning, wants to increase attendance

·       Some feedback on attendance

o   Create more ways to be involved

o   Ideas:

§  Idea: more playing during game; more ideas sought – please see Julia

§  Idea: include alumni  in CHARMS database – give them an improved opportunity to interact

§  Post card mailing sent with enough time to generate more interest in Homecoming

§  Facebook page currently is the gathering place and that is working very well

§  Feedback from kids is that they seem to like it

·       Still need Volunteer Coordinator – thanks to everyone who has volunteered

Treasurer’s Report

·       Kevin absent but Kate gave update

·       Secure system in place to deposit, track, and review

·       Last month approved budget – to post on Charm for parents

·       Square reader/swiper – investigating for use at concerts

o   Kim offering up hers to use

o   Cannot get lower rate as a non-profit – but convenience factor is great

§  Fee is 2.7% of transaction

§  Expect to sell more as a result of its use

o   PayPal fees will soon be lowered for online donations

Fundraising – Anne Gose & Tracy Mahoney

·       2 grant applications just put in to PSTA – should hear next week

·       Wreaths – volunteers covered

o   Selling ended last Friday

o   Sold just under 300 wreaths and 90 centerpieces

§  Kids use most of the funds to offset Disney trip

§  $8,000-$9,000 raised – slightly down from last year

o   Friday, November 16 wreaths are delivered to school

§  Must be picked up that day

o   Update from last month’s meeting: Sue Gray, BHS Accountant will keep track of credits – not Anne  this year because it is considered an ASB fundraiser

·       Scarves – 24 scarves left from 150 ordered

o   Want to order more given interest

o   Change pattern to encourage purchases

o   Price point is at 8.75 for 150

o   Moved to order more and seconded – unanimously approved

o   Feedback – lighter blue seems to be preferred over navy blue, adults stick with what they have and don’t buy newest design

·       Old Uniforms  - try making a throw pillow to see if possible way to move them/make money

o   Sell old uniforms for $10—sell at Dec. concert

o   Present the pillow option at the Dec. concert and collect input

Uniform Fundraiser – Edd – about 70K needed to outfit everyone

·       The need is real to upgrade to more formal look

o   drives professionalism, cool factor, makes performances look better

o   kids will feel freer to perform – encourages team sensibility

·       New uniform costs $450 complete

·       Mercer Island just upgraded  - looking for best practices

·       Sponsorships of uniforms encouraged

·       Edd considering football banquet pitch

·       Edd shared his thoughts on how to approach campaign

Volunteer Roles

·       Kate discussed open positions  – see attachment

·       Thanks to all our volunteers who have already stepped in to help

 

Edd shared details for open roles

·       Publicity has templates ready to go - job well defined - weekly or twice a month

·       Photographer needed next Friday - one shot required of entire band

·       Volunteer coordinator - Charms calendar management, work with Edd on openings - proactive - need to find volunteers - usually easy - mostly computer-based

·       Fundraising roles (potentially freshmen or sophomore parents):

·       Goal is grand piano - work with choir and orchestra - potentially multi-year effort - 20K

·       Marching band uniforms - warm ups are wearing out, need to step up our game - 50-60K range

  • Volunteers will be needed for games, wreath distribution, chaperones for trips, etc.

·       Question on how easy has it been to get volunteers – answer: "really well," mostly just email request - lots of interest - mostly emailing campaigns

 

 

Band Director’s update

·       Marching season has gone very well - strong kid leadership – kids conducted themselves very well at Salmon Days - respectful, camaraderie, good citizenship

·       Next week is Homecoming - Wednesday practice in evening - Friday group picture, pizza, parade

·       Rest of football games will be in stands

·       Let Edd know if student will be absent - will be understood and much appreciated 

·       Jazz bands going well - performances to be announced shortly 

·       Barney hired for Jazz 2 - about 10 kids currently in place - still need bass player 

·       Charms - using it a lot more, will finalize input from Concert Band - target after Homecoming 

·       Moving into concert season - prep underway

·       Volunteer opportunities - keep it small, we want many parents to be involved

Meeting Minutes

September 10, 2012

1.     Update from Band Director, Edd George

a.     Thank you to parents for coming to the Band Boosters meeting prior to the Band Parent Meeting.

b.     Focus of Band Boosters: 1) Fundraising to support the band program, and

2) Volunteering for band events and performances.

c.     Thank you to Leslie Bigos for all of the time and effort she gave as previous Band Boosters President.

d.     First “home” BHS football game at Memorial Stadium was Friday, August 30.  Two-thirds of the band students attended (approx. 80 band members).  Edd described the summer event as “flexible” and that the plan worked well.  The new BSD Superintendent, Dr. Tim Mills, a former music teacher, attended the event, spoke with Edd, and complimented the BHS band on the National Anthem.

e.     Jazz Band I and II auditions will be held over the next two weeks at 6:30 am.

f.      Upcoming PTSA Grant Application due date is November 2012.  Previous PTSA grants were for purchasing and maintaining instruments, funding band trips and transportation, and purchasing raingear.  In the construction/move two mellophones (marching French horns) are missing.   May apply for a new grant to replace the two items ($1200 each).

2.     Budget

a.     Tracy Mahoney, Band Boosters Co-President, discussed the tentative budget for the 2012-2013 school year.  It is an approximately $20,000 budget.

b.     Kevin Klustner, Treasurer, is out of town and a final budget will be discussed on September 26 and presented for approval at the next Band Boosters meeting on Monday, October 8, 2012.

c.     Budget includes purchasing sheet music, purchasing instruments, repairing instruments, and providing scholarships for band trips/events.

d.     Band students will sell wreaths to raise funds.

e.     Last year’s budget (2011-12, not final) had approximately $24,000 in expenses and $20,000 in income from fundraisers and Jazz Festival.  Carryover is more than $20,000.

3.     Boosters meetings will generally be held the second Monday of each month, 7-8 pm in the band room at BHS.  Adjustments will be made if the official meeting date falls on a “no school” or district break day.

4.     Passed out a list of the 2012-13 Board of Directors.  Still need Secretary and Publicity Chair.  Summer Social Event Chair is still open, but event is past.

5.     Many opportunities exist for parents to volunteer.  Needs are posted on Charms and sign-up is easy.  We encourage everyone to volunteer a little or a lot.

6.     First student fundraiser begins October 12.  Anne Gose is Chair of the Wreath Fundraiser.  Kids will get a packet at school and Anne will visit classes to explain the process.  Kids have three weeks to take orders.  Wreaths will be delivered to school and students/parents must pick the wreaths up and deliver them.

7.     Alumni Relations committee is chaired by Julia Graham.  Julia is an alumnus of the BHS band.  Last year she helped with the alumni reunion at Homecoming and co-chaired the BHS Jazz Festival.  She is coordinating the alumni participation in this year’s Homecoming parade.

8.     Homecoming parade is Friday, October 19.  The band stays after school, enjoys a pizza dinner sponsored by the Band Boosters, and takes a bus to the Bellevue Downtown Park.  They march in the Homecoming Parade down Main Street and walk back to BHS to perform at the football game.

9.     Next Boosters meeting is Monday, October 8, 2012 at 7 pm in the Band room.

Upcoming & Past Events

  • New Scarves -- We purchased 150 soccer style scarves of a new design. We will sell at the Concert.
  • KPLU Recording - went well and the students enjoyed it.
  • Wind Ensemble just had their district festival and it went well. Concert Band has their festival next week.
  • Jazz Festival - More high school bands have signed up than Jr. Hi and Middle School band so Edd is proposing that some H.S. Band II bands perform on Friday, the daily generally reserved for middle school and jr. high.
  • PTSA Grants - We received the commission for the Jazz I piece and $s to repair about 15 woodwind instruments.
  • Piano fundraiser - on hold until next year and we may kick off a fundraiser with the new PAC. We need choir and orchestra involvement.
  • Sounders Game - Band students can sign up to hold flags at Sounders season opener game. Rehearsal on Friday, performance on Saturday.
  • Victoria Trip Chaperons - need 1 chaperon for every 10 students. Approximately 70-80 students will attend. Lisa Foster to perform notary duties at Spring concert.
  • Newport High School Jazz Festival on the 24th. Both bands will perform and students will provide their own transportation.
  • PTSA Auction - the PTSA had a good showing at their auction and a few band parents and Mr. George attended.
  • Woodridge Auction - Combo to perform.

  • # of bands attending: so far 30 HS and 13 MS & JR High bands signed up.
  • Need a lead for the registration desk.
  • Sending out confirmation for payments.

Director's Report

  • Jazz Festival at EWU - great experience for both bands. Clayton Hamilton was terrific. BHS Trombone section named "best Trmbone Section
  • Chamber Music Concert/Evening of the Arts - Wind Ensemble students divided up into chamber ensembles and performed of this.
  • All-State 5 band students were selected for All-State; Pavel 1st place Trumpet
  • KPLU Recording - March 8. Jazz I will be recording a tune for the KPLU School of Jazz CD.
  • Wind Ensemble Auditions - Will occur after break.
  • Eastshore band festivals - 
  • Victoria Trip Q&A for trip 19-21. Need a ratio of 1:10 chaperons to Students.

Booster Business

  • Applied for two Grands: Music Commision, Instrument repair
  • Chaperons needed for March 2nd trip to CWU - Not enough room on the bus. Leslie Bigos volunteered.
  • Chaperons need for May 19-21 trip to Victoria.
  • Fundraising - Placed an order for 150 new scarves
  • Volunteers are doing ongoing work on music cataloging
  • Help may be needed with the move.

Band Boosters - December 12, 2011 Agenda

Director’s Update  

  • Winter Concert - Dec. 14 @ 7:30 in the gym - students should be there by 7
  • Summer camps (FYIs) - list of summer band camps on the web-site. http://www.bellevuehighband.com/resources/summer
  • Scarf design & buying more - The board voted to purchase 150 more scarves as a fundraiser. We looked at designs and everyone is excited about continuing this fundraiser.
  • Brennan 520 tolls - The boosters voted to pay for the bridge tolls for our Jazz II Director.
  • Jazz Trip to Spokane
    • The Jazz Band will be attending clinics and a concert by the Clayton/Hamilton Jazz Orchestra at EWU in Band.
    • Barbara Dryfoos to arrange a Pizza Hut dinner for Saturday night.
    • 2 scholarships were awarded so that Jazz students could attend.
  • Chamber Groups - students have formed chamber groups and are playing chamber music. Some chamber groups will be playing at Solo/Ensemble.
  • All State – Several students will be attending the All-State in Yakima. The Boosters have awarded 1 scholarship to defray expenses.
  • KZOK Contest - The band entered the KZOK contest and are soliciting votes.

Goods Sale - Paige Collins

In an attempt to clean out the upstairs closet prior the move, the band will be selling excess items at the Winter Concert. Paige Collins will spearhead this. We discussed pricing the items. The items include:
  • Polo shirts
  • Uniforms – price at $20
  • Ponchos
  • Coffee Mugs
  • Jazz Fest T shirts?
Discussed options for selling the obsolete marching band uniforms.
 

Basketball Pep Band

• Shirts - Basketball shirts will be $8 and the responsibility of students. Students pay to the school accountant.
• Schedule: 1/6, 1/13, 1/31
 

PTSA Grant 

Discussed the Grant for the CWU Wind Ensemble experience. CWU was full up so Mr. George schedule an alternate to WWU. However, subsequently, CWU has an open spot and the band will go to CWU.

For the next PTSA Grant cycle we will request monies to repair instruments and $350 to commission a jazz band song which will showcase the talents of our students.

Director’s Update

  • Homecoming Recap
    • The band has been busy with 20 performances in 11 weeks
    • The raincoats were right for the night.One raincoat has a broken zipper. Discussed using soap for ease of zipping
  • Football Play-off Games
    • The band is being split into two bands and one band can leave the game after half-time. May use this strategy next year so students are "on" for the entire period their band is committed for.
    • Bus for play-off game vs Lakes boards at 4:30 on Friday, returns at 10:30. 
    • May bring raingear to Lakes game due to cold weather -- predicted 40 degrees.
    • The band will not play over Thanksgiving
    • The State Championship is December 2nd.
  • Basketball Plans
    • Games will be on Friday nights
    • There will be 3 bands and each band must play 3 games
    • There will be an official T-shirt for Basketball games.
  • All State - 
    • 6 band students were selected for All-State, 4 choir student & 4 orchestra students. 
    • ASB will provide partial funds for the selected students to attend All-State in February
    • Boosters will provide scholarships for any students that need additional funds to attend All-State.
  • Winter Concert
    • Dec 14 @ 7:30 in the Gym
    • All performance groups will perform including the 2 Jazz Bans
    • Percussion Ensemble will perform either with Concert Band or Wind Ensemble but will not perform as a stand-alone group.
  •  PTSA Grant
    • The Band has been awarded a $800 grant from the PTSA to fund the Wind Ensemble participation in the Central Washington University Wind Ensemble festival
    • The next Grant cycle, Mr. George will ask for money to commission works for the Jazz Band and/or other performance groups. The commissioned piece(s) will play to the strengths of the given performance group.
  • District Purchase of Baritone- The BSD funded the purchase of a new Baritone horn. Baritone horns are used for marching and are much stronger than a Euphonium. 
  • Instrument Wish List:
    • A Set of 4 new timpani $9000
    • 2 new piccolos for marching band $250 each,  $500 total
    • A drum major podium for marching band $700
    • 2 new marching baritones $1900 each, $3000 total
    • Covers for harmony director/xylophone
  • Jazz Calendar - New events added and this information has been communicated to Jazz Students.
  • CDs - need to sell CDs and Winter Concert - Nice keepsake for students.
  • Jazz Combos - added some combo dates to the calendar including the Woodridge auction

Disposition of Uniforms

  • Gold polo shirts - the old style polo shirts will be sold at the Winter Concert and perhaps donated.
  • Old-style marching uniforms - Discussed selling the old-style marching uniforms. Edd George to check on if this allowed.
  • Rain Ponchos - voted to donate old ponchos to the homeless.

Fundraising

  • Scarf Update - Voted to order more scarves to sell next year. The design will change. Edd George to get pricing.
  • Holiday Greenery sale update - Anne Gose
    • Drill Team out sold the Band on this fundraiser.
    • The profit will be approximately $4600, with $5.00 of each sale going to defray the cost of the Victoria trip.
    • We earned approximately $400 less than we budgeted.
    • Proposed starting fundraiser earlier next year.

Alumni Band - Report from Paige Collins

  • The Event was Spectacular!
  • The group is determining what their on-going involvement is going to be.
  • Members of the Alumni group would like to have on-going involvement in supporting the band.
  • They will attend Homecoming next year.
  • The Jazz Band may perform at Crossroads in the Spring.

Bell Jazz

  • Alumnus Julia Graham to Chair the Event. Yea!
  • Western Faculty band will perform at the event
  • One adjudicator will be from Western
  • No out-of-state judges this year
  • SAT will be held on the Saturday of the festival so we will not be using Commons.

Publicity

  • Carol Lawrence Report - She will prepare a "Thank You" for the PTSA for the Grant. She submitted for the BLAST on the wreath pick-up.

Recruiting

Needs are: co-president; publicity co-chair

Grand Piano

  • Edd George discussed the need for a Concert Grand piano for the new PAC as well as new pianos for music rooms.
  • PTSA will have a fund-a-project at the Auction for new pianos
  • Discuss other fund-raising ideas.
  • Discussed "Buy A Key"
  • The new pianos is an effort by the entire music department, not just band.

Director’s Update

  • PTSA Grant - a Grant request was submitted to the PTSA requesting $1600 for Central Washington Wind Festival Experience. This would allow Wind Ensemble and Percussion students to attend a festival at Central Washington University where they would receive clinics from professors and hear bands outside of our region perform. The Grant would cover bus transporation, Mr. George's substitute for the day and the entrance fee.
  • Instrument Wish List & Piano - Mr. George is working with the other members of the music and theater department in hopes of raising funds for a new Grand Piano. Mr. George presented fundraising ideas:
    • "Music Matters" license plates - vanity license plates issued through the State of Washington and administered through Washington Music Educators Assn. Funds designated to BHS could help fund the piano.
    • Piano Recital of piano students as a fundraiser
    • Fundraiser at a local venue like the dueling piano bar in Bellevue.
  • All-State/All NW Auditions - Approximately 17-18 students auditioned for the State groups. They will be notified if they were accepted at months-end.
  • Jazz II - the Jazz II Director's position is funded by the Boosters. We have Mr. Carter back from last year. Right now we have a combo-size group of 6-8 students. Encouraging others to join.
  • Upcoming performances: 
    • Homecoming
    • Nov. 1 - Wind Ensemble & Orchestra Concert
    • Nov. 3 - Jazz Band(s) to Skyline for festival
    • Nov. 8 - Wind Ensemble to perform at the Veteran's Day Assembly.

Homecoming

Discussed our plan for the Homecoming day, pizza feed & parade. The boosters pay for a pizza dinner for the students before the parade. Plans for homecoming include:
  • Pizza feed - Brooke Cordova had volunteered to coordinate food.
  • Photos - Edd George to ask a year book staff member to take the photograph. Leslie Bigos to serve as backup.
  • Parade logistics
  • Rain coat distribution
  • Volunteer Needs
  • Request donations of cookies for the students.

Fundraising

  • Scarf Update - we have approximately 50 scarves left to sell. We will sell them at Homecoming.
  • Holiday greenery sale - Anne Gose presented the information regarding the fundraiser. $5 of each sale will go to the student salesperson to defray costs of Victoria trip. Drill team will be participating in the fundraiser. The fundraiser kick-off will be Oct 13 (Drill) and Oct 14 (Band). The greenery will be delivery the Friday before Thanksgiving.

Treasurer Report

  • Annual projected budget -As the current budget stands, we will have approximately $2,000 more expenses than projected income. This is due to the $10,000 allocated to the purchase of rain gear. At the current savings level, the treasurer, Kevin Klustner, and the board are comfortable with this.

Bell Jazz

  • Looking ahead at the jazz festival. We will gear up after the first of the year. Several people have expressed interest in helping out.
  • The festival will be held May 4th & 5th, 2012.

Alumni Band

  • An alumni band has been formed. Paige Hamilton Collins has been the coordinator.
  • The alumni band will march in the homecoming parade.
  • An alumni jazz band will play at a reception on Saturday after the Homecoming game. The Jazz I band will also play at this reception.
  • Former band directors Al Jones, Bill Wicker & Vince Caruso will attend the reunion reception & concert.

Publicity

  • Need pictures of the band for the Year book. People are encouraged to send photos in.
  • Carol Lawrence explained publicity plan. 
  • Need to recruit a publicity person for next year as Carol has a graduating senior.
  • Carol to contact KING5 about the Alumni band.

Director's Report

  • 120 students enrolled in band: approximately 50-Wind Ensemble, 50-Concert Band, 20-Percussion Ensemble
  • Uniforms: Due to the discontinuation of uniform style, we are now assessing a Uniform Fee for new students of $30/yr. This money will be allocated for all new uniforms at some point.
  • PTSA Grant Application - We will write an application for the CWU Wind Ensemble Experience at Central.
  • Jazz Band: Selections have been made. Mr. Carter is returning as the Jazz II Instructor. Jazz II will go on all the same trips as Jazz I. Still recruiting for Jazz II.

Booster Business

  • Budget: The Budget was presented and ratified by members present
  • Wreath Fundraiser: Anne Gose presented the Wreath Fundraiser. We will be using Deer Run Greenery and selling 2 items: a table wreath for $25 and a table swag for $15. The fundraiser kick-off will be October 14 and the wreath delivery will be November 18, right before Thanksgiving. Part of the profits for the fundraiser will go to the student to defray the cost of the Victoria trip. The remainder will be a fundraiser for the Band Boosters.
  • Homecoming: Action item: Edd George to reserve cafeteria for Pizza Feed

Alumni Band

Paige Collins reported on the Alumni band rehearsals, Accommodations for Al Jones, and enthusiasm for the Alumni Band.

    • Water/Snacks & 3rd quarter - Parents attending football games are asked to help distribute water/snacks.
    • Scarf Sales: Laura Balent offered to sell scarves at the next football game.
• Chinook Football Band Night - October 7
    • Need signs to help Chinook parents know where to go
    • Greet parents @ warm-up room and explain schedule, following band into field, etc.
